Actifile

More Projects:

The Company &
the Product

Actifile is a comprehensive, autonomous data security platform that transforms the way organizations protect their sensitive data. Unlike traditional DLP (Data Leak Prevention) systems, which rely on an event-driven approach and ongoing rule management, Actifile automates data risk assessments, continuous monitoring of sensitive data, and encryption of sensitive data through a user-friendly and intuitive SaaS platform.

Project Goal

To redesign Actifile’s SaaS experience and help users better understand, trust, and act on complex security information – with a specific focus on increasing adoption of the encryption process.

We began with an expert UX evaluation that identified key usability gaps and trust barriers. Based on the evaluation findings, the client’s requirements, and the defined success metrics, we characterized and designed a new interface aimed at making the product clearer, more actionable, and easier to use.

The Challenges

Data Overload

The platform presented users with large amounts of information, but without clear prioritization or an information architecture aligned with their workflows.

As a result, critical insights were often buried in the noise, making it difficult for users to understand what required attention, what was urgent, and where to focus next.

Unclear Product Priorities

The product included many areas that could be improved, but not all improvements had the same impact on user experience, business goals, or technical feasibility.

The challenge was to identify which UX issues were most critical, prioritize them according to expected impact and implementation effort, and focus the redesign on the changes that would create the highest value.

Low Trust in the Encryption Process

Low transparency around the encryption process made it difficult for users to fully trust the system.

When users did not clearly understand what was protected, how encryption worked, or whether sensitive data was truly secure, they were hesitant to rely on the system. This created a barrier to adoption, especially for a feature that required a high level of confidence and perceived control.

Executive Solution Summary

Executive Solution Summary

After mapping the product’s strengths, usability gaps, and desired KPIs, we focused the redesign on three key areas: simplifying the information architecture, adding an insights layer, and redesigning the encryption flow.

We reduced more than 15 modules into 5 core areas, introduced prioritized insights to help users focus on what matters, and redesigned encryption as a guided wizard with clear steps and safety mechanisms.

The result was a clearer, more actionable SaaS experience that reduced data overload, improved trust, and helped users complete encryption processes with greater confidence.

Expert Evaluation

We started with a thorough review of the product’s user experience and interface design, identifying key usability issues, strengths, and opportunities for improvement.

The findings were delivered in a full assessment report, with recommendations prioritized according to their expected impact on the defined KPIs and their technical feasibility. This helped focus the redesign on the areas that mattered most.

New UX & UI Concept

Based on the evaluation findings and prioritized recommendations, we developed new UX and UI concepts for the platform.

The redesign focused on improving clarity, reducing cognitive load, and strengthening user trust, while incorporating the critical changes identified in the assessment.

Usability Testing

We validated the new concepts through usability testing with real users.

The feedback helped us refine the experience, confirm that the new interface addressed the key challenges, and improve the platform’s ability to support understanding, trust, and adoption.

The Solution

The solution included a full redefinition and redesign of the SaaS interface, focusing on clarity, trust, prioritization, and user confidence. Two major areas shaped the new experience:

Redesigning the Encryption Mechanism

Redesigning the Encryption Mechanism

We redesigned the encryption process as a smart, system-wide wizard that breaks a complex security action into clear, easy-to-understand steps.

The wizard explains each stage, shows the implications of the user’s choices, and includes safety mechanisms that help users feel in control throughout the process. This made encryption easier to understand, reduced hesitation, and strengthened trust in the system.

Adding an Insights Layer

Adding an Insights Layer

We added a system-wide insights and recommendations layer that helps users move from raw data to focused action.

The main interaction with insights takes place through the dashboard, which also serves as the system’s home screen. It gives users a quick, clear overview of the current situation, highlights key issues, and helps them understand what requires attention.

By cataloging and prioritizing problems, translating them into operational and financial business implications, and surfacing the relevant actions for each issue, the system helps users understand where to focus and what to do next.
